Presentation Guidelines

 

Paper Presentations

 

There are two types of session at this year’s conference: regular 1.5 hour sessions, which will normally include 4 or 5 presentations, and 1 hour sessions, which will include 3 presentations (or exceptionally, fewer). Be sure to check the duration of your session as your prepare your presentation.

 

Presentations should generally not exceed 15 minutes, to allow time for questions and discussion.  Depending on the duration of the session and the number of presentations, session organisers/ chairs can choose to modify this limit in order allocate more time for discussion.  Maximum limits are as follows:

  • Presenters in 5 paper sessions will have a maximum of 18 minutes allocated to their presentation and any questions/ discussion.
  • Presenters in 4 paper sessions will have a maximum of 22 minutes allocated to their presentation and any questions/ discussion.
  • Presenters in 60-minute 3 paper sessions will have a maximum of 20 minutes allocated to their presentation and any questions/ discussion.

 

Presenters:

As presenter, you are responsible for bringing your presentation (ideally, in .ppt or .pdf format) on a USB drive to the room in which your session will take and installing it on the main computer prior to the start of your session.  We recommend you come 15 minutes in advance to ensure everything is in order - make sure you check that your presentation works as intended before the start of the session. A suitable format for your presentation is 4:3 (i.e., a 1024x768 resolution).

Technical assistance will be readily available if you have any difficulties.

 

Session Chairs:

As session organiser/ chair, you are responsible for ensuring all presentations are installed prior to the start of the session to ensure the smooth running of the session. We recommend you come 15 minutes in advance to ensure everything is in order. You are also responsible for introducing the presenting authors before their paper presentations, ensuring adequate timing of presentations and discussions, and facilitating and moderating questions in your session. We recommend having questions and answers after each talk to ensure all speakers have equal chances to engage with the audience. Please time the presentations in your sessions accordingly, based on the session duration and the number of presentations.

If there are any technical problems during the session, assistance will be readily available. Ask one of the student helpers!

If, for any reason, you are not able fulfil your role as chair please find a suitable replacement or notify the conference organizers at least one week before the start of the conference.

 

 

Poster Presentations

 

Your poster will be on display on Wednesday 17th July at 15h00 in the Aula (ground floor, West Central Buidling). During the session, you are expected to stand next to your poster and present the content to / answer questions from interested delegates. 

Please make sure your poster is installed before the start of the poster session. Poster display panels will be set up during the session preceding the poster session and members of the local team will be available at this time to help you put up your poster. 

 

Poster Format:

The poster size limit is A0 (841 mm (33.1 in) width x 1189 mm (46.8 in) height), and should not be exceeded. Please note that the poster has to be in portrait mode due to the format of the panels.
